Student Rates 

Only available to registered NCA student members (at the Gaylord Rockies). Limit: One room per student. Reservations made by non-members or requests for additional rooms will be cancelled. These rooms go fast—book early!

 

Child Policy

Children 17 years or younger stay free of charge in adult’s room with existing bedding. 

 

Deposit Policy 

A first-night room deposit or major credit card guarantee is required for all reservations. A credit card is required at check-in to cover remaining room costs, and a $100.00 per day hold will be placed for incidental charges. Any unused funds will be refunded upon check-out. 

 

Payment Policy

Gaylord Rockies Resort & Convention Center is now cashless throughout your experience. The resort accepts credit card and mobile payments only, including front desk, food and beverage locations, retail, special events, parking, etc. Guests can convert cash into $20-$500 gift cards at Cash-To-Card kiosks located to the left of the escalators to Arapahoe Springs Water Park. 

 

Cancellation Policy 

Cancellations must be made more than 72 hours before arrival to avoid fees. Cancellations made within 72 hours of arrival will forfeit the deposit or result in a one night’s room and tax cancellation fee. Be sure to get a cancellation confirmation number. 

 

Check-In & Check-Out 

  • Check-in: 4:00 p.m. 
  • Check-out: 11 a.m. 

 

Late Arrival Policy

If arriving after midnight, contact the hotel directly so they can note your reservation and plan for late arrival. Failure to arrive before this time will result in reservation cancellation and a no-show fee. 

 

Early Departure & No-Show Fees 

Early Departure: Notify the hotel at least 24 hours in advance to avoid a fee (one night’s room + tax)

No-Show: Will result in one night’s charge and may cancel your reservation.

⚠️ Hotel Poachers/Pirate Alert

Unauthorized housing companies (called “hotel poachers”) have previously contacted registered NCA convention attendees offering cheaper rates. This practice, also known as “room pirating,” is a scam that attendees should be aware of to avoid disclosing personal or financial information.

Hotel poachers may claim to be an NCA “partner” or “official housing company” and may ask for full prepayment. Do not engage with these companies.

From Downtown Denver

Important Travel Advisory (Effective June 9, 2025) 

A new U.S. Presidential Proclamation affecting foreign nationals went into effect on June 9, 2025. The policy introduces new travel restrictions based on country of origin and visa type.  

 

Full Travel Ban

Foreign nationals from the following countries will be prohibited from entering the U.S., regardless of visa type. If currently in the U.S., they are strongly advised not to depart, as re-entry will be denied: 

  • Afghanistan, Burma (Myanmar), Chad, Republic of the Congo, Equatorial Guinea, Eritrea, Haiti, Iran, Libya, Somalia, Sudan, and Yemen. 

 

Partial Travel Ban

Foreign nationals from the countries below will be denied entry if traveling on B-1, B-2 (visitor), F (student), M (vocational student), or J (exchange visitor) visas. Those with other visa types (e.g., H-1B, L-1) may still travel, but should expect reduced visa validity for new applications:

  • Burundi, Cuba, Laos, Sierra Leone, Togo, Turkmenistan, and Venezuela. 

 

Additional Countries Under Review

Travel restrictions may soon expand, pending national security recommendations. 

 

Exemptions Apply

The following individuals are not subject to the travel ban: 

  • U.S. lawful permanent residents (Green Card holders) 
  • Dual nationals using passports from unrestricted countries 
  • Athletes, coaches, and their families attending major international sporting events 
  • Immediate family members on certain family-sponsored immigrant visas 
  • Individuals granted asylum, refugee status, or protection under the Convention Against Torture 
  • Certain religious or ethnic minorities from Iran 
  • Accredited diplomats and foreign officials 
  • Afghan and U.S. government-affiliated Special Immigrant Visa (SIV) holders 

 

What this Means for Convention Attendees

Please consult with your local U.S. embassy or consulate prior to travel. If you are impacted by these restrictions or have questions about your visa category, we recommend seeking legal counsel or direct guidance from a U.S. immigration official. 

Passport and Visa Information 

All international attendees must have a valid passport to enter the U.S. Your passport should be valid for at least 6 months beyond the dates of the convention (November 20-23, 2025). 

 

Visa Requirements

Depending on your country of origin, you may also require a visa to enter the U.S. It is your responsibility to determine if you need a visa and to obtain it in a timely manner. Visitors planning to attend the convention will most likely need to apply for a B-1 visa. We recommend starting your visa application process immediately! 

 

Processing Times

The process for obtaining a visa to attend the convention may be very slow. Please use the information below to determine whether you need a visa, and if so, apply for a visa immediately.

Tips for Successful Visa Application 

  • Download the letter of invitation from NCA. 
  • When possible, provide proof of meeting registration. 
  • Visa applicants are expected to provide evidence that they intend to return to their country of residence. Therefore, applicants should provide proof of binding or sufficient ties to their home country or permanent residence abroad. Visa applications are more likely to be successful if done in the visitor’s home country. 
  • Applicants should present their entire trip itinerary, including travel to any countries other than the United States, at the time of their visa application. 
  • All applicants must be able to qualify for a visa on their own merits under the requirements of the Immigration and Nationality Act.

How to Use the Letter

  2. Fill in the bracketed information with your personal details exactly as they appear on your passport

  4. Submit the letter as part of your visa application package 

Important: This letter confirms your invitation to participate in the NCA Annual Convention but does not guarantee visa approval. The final decision rests with the consular officer.

Important Travel Advisory (Effective June 9, 2025) 

A new U.S. Presidential Proclamation affecting foreign nationals went into effect on June 9, 2025. The policy introduces new travel restrictions based on country of origin and visa type.  

 

Full Travel Ban

Foreign nationals from the following countries will be prohibited from entering the U.S., regardless of visa type. If currently in the U.S., they are strongly advised not to depart, as re-entry will be denied: 

  • Afghanistan, Burma (Myanmar), Chad, Republic of the Congo, Equatorial Guinea, Eritrea, Haiti, Iran, Libya, Somalia, Sudan, and Yemen. 

 

Partial Travel Ban

Foreign nationals from the countries below will be denied entry if traveling on B-1, B-2 (visitor), F (student), M (vocational student), or J (exchange visitor) visas. Those with other visa types (e.g., H-1B, L-1) may still travel, but should expect reduced visa validity for new applications:

  • Burundi, Cuba, Laos, Sierra Leone, Togo, Turkmenistan, and Venezuela. 

 

Additional Countries Under Review

Travel restrictions may soon expand, pending national security recommendations. 

 

Exemptions Apply

The following individuals are not subject to the travel ban: 

  • U.S. lawful permanent residents (Green Card holders) 
  • Dual nationals using passports from unrestricted countries 
  • Athletes, coaches, and their families attending major international sporting events 
  • Immediate family members on certain family-sponsored immigrant visas 
  • Individuals granted asylum, refugee status, or protection under the Convention Against Torture 
  • Certain religious or ethnic minorities from Iran 
  • Accredited diplomats and foreign officials 
  • Afghan and U.S. government-affiliated Special Immigrant Visa (SIV) holders 

 

What this Means for Convention Attendees

Please consult with your local U.S. embassy or consulate prior to travel. If you are impacted by these restrictions or have questions about your visa category, we recommend seeking legal counsel or direct guidance from a U.S. immigration official. 

Passport and Visa Information 

All international attendees must have a valid passport to enter the U.S. Your passport should be valid for at least 6 months beyond the dates of the convention (November 20-23, 2025). 

 

Visa Requirements

Depending on your country of origin, you may also require a visa to enter the U.S. It is your responsibility to determine if you need a visa and to obtain it in a timely manner. Visitors planning to attend the convention will most likely need to apply for a B-1 visa. We recommend starting your visa application process immediately! 

 

Processing Times

The process for obtaining a visa to attend the convention may be very slow. Please use the information below to determine whether you need a visa, and if so, apply for a visa immediately.

Tips for Successful Visa Application 

  • Download the letter of invitation from NCA. 
  • When possible, provide proof of meeting registration. 
  • Visa applicants are expected to provide evidence that they intend to return to their country of residence. Therefore, applicants should provide proof of binding or sufficient ties to their home country or permanent residence abroad. Visa applications are more likely to be successful if done in the visitor’s home country. 
  • Applicants should present their entire trip itinerary, including travel to any countries other than the United States, at the time of their visa application. 
  • All applicants must be able to qualify for a visa on their own merits under the requirements of the Immigration and Nationality Act.

How to Use the Letter

  4. Submit the letter as part of your visa application package 

Important: This letter confirms your invitation to participate in the NCA Annual Convention but does not guarantee visa approval. The final decision rests with the consular officer.

Before the Convention: 

  • Ensure your passport is valid for at least six months beyond your travel dates. 
  • Apply for a U.S. visa, if required, well in advance of the convention dates. 
  • Register for the NCA Annual Convention and reserve your hotel accommodations.

At the Convention:
